Quick Answer

FoxDMS saves the wholesale deal and prints the bill of sale. You record the buying dealer, the vehicle, the sale price, and a payment method: Cash, Check, Wire Transfer, or Finance. The deal form shows that vehicle's cost and an estimated profit, the sale price minus that cost. On every wholesale deal, Documents prints the dealer-to-dealer purchase agreement. That purchase agreement is the bill of sale.

The deal

What FoxDMS saves on a wholesale sale

A wholesale deal is the dealer-to-dealer sale. You pick the vehicle and the buying dealer. The buying dealer can be an existing dealer contact, or a new wholesale buyer. A new wholesale buyer requires a company or dealer name. You enter the sale price and a payment method. The choices are Cash, Check, Wire Transfer, and Finance. Notes are optional.

On a wholesale deal, total due is the sale price. Doc fee, title fee, and sales tax are stored as zero. A new deal is saved as Pending Funding. You mark it funded from the deal page after the money arrives. Floor plan payoff is a separate action on the vehicle. Floor plan interest keeps accruing until you set a payoff date. Selling the unit does not set that date. See floor plan finance software.

Texas dealers still keep the paperwork their county and the TxDMV expect. Use the dealer-to-dealer sale paperwork guide, the dealer-to-dealer sale definition, and the Texas dealer forms hub.

What prints

The purchase agreement is the bill of sale

Dealers use "invoice," "bill of sale," and "purchase agreement" for the paper that records who sold, who bought, which vehicle, and the price. In FoxDMS that paper is one PDF. On every wholesale deal, the Documents menu prints Purchase Agreement (Dealer-to-Dealer). That purchase agreement is the bill of sale.

The PDF is filled from the deal and the dealership. It includes the buying dealer's name, address, city, state, ZIP, and phone, and the selling dealership's name, address, city, state, ZIP, and phone. The vehicle block includes stock number, year, make, model, body style, color, mileage, and VIN, and the form writes USED in the new/used field. Pricing fields are the sale price, a subtotal equal to the sale price, and total due. For a wholesale deal, total due is the sale price. The template writes the unpaid-balance field as 0.00. That 0.00 is not the funding status. Funding stays Pending Funding until you mark the deal funded.

The same menu prints VTR-41-A Dealer Reassignment today as an overlay on the secure form. Form 130-U is coming soon. Odometer disclosure is still marked coming soon on that menu. Retail customer sales are still marked coming soon on the deal screen.

Profit

Profit against the vehicle's cost

Before you save, the deal form shows Vehicle Cost and Estimated Profit. Vehicle Cost is the unit's all-in cost plus pack. Estimated profit is the sale price you type minus that cost. After the deal exists, gross profit on the deal page is the sale price plus any doc fee, minus the vehicle's all-in cost and pack. Wholesale deals store the doc fee as zero, so that profit is the sale price minus cost. All-in cost is the purchase price, the per-VIN expenses, and floor plan cost. If you have typed any expense in the Floor Plan category, those manual amounts are used instead of the calculated floor plan total.

Example only, not a FoxDMS default: a truck with a $12,000 purchase price, a $400 transport expense, and $150 of floor plan interest has an all-in cost of $12,550. With no pack, a wholesale sale at $14,000 shows $1,450 of profit. A pack reduces that profit by the pack amount. Your numbers will differ. The app calculates them from the vehicle and the sale price you enter.

Accounting outside the DMS is still separate. QuickBooks for car dealers explains the books around a per-VIN cost. QuickBooks sync is planned for early 2027. Books for the lot are covered in wholesale dealer accounting.

Support is email at support@foxdms.com. Growth and Command include Priority Email Support. The deal screen runs in a mobile browser. Plans are Starter $39, Growth $79, and Command $199 per dealership per month. The 14-day trial requires a card. There is no contract. Prices and limits are on /pricing and /foxdms-pricing. Texas form fill is described on software that prints Texas title forms.

FAQ

Dealer invoicing questions

Can I invoice dealer-to-dealer sales in FoxDMS?

Yes. FoxDMS saves the wholesale deal with the buying dealer, the vehicle, the sale price, and the payment method, shows profit against the vehicle's cost, and prints the purchase agreement for every wholesale deal. That purchase agreement is the bill of sale. QuickBooks sync is planned for early 2027.

What does the purchase agreement include?

The purchase agreement is the bill of sale. The PDF fills the buying dealer's name, address, and phone, the selling dealership's name, address, and phone, stock number, year, make, model, body style, color, mileage, and VIN. It marks the unit USED. It prints the sale price, a subtotal equal to that sale price, and total due. The template writes the unpaid balance as 0.00. Funding status on the deal is separate: a new deal starts as Pending Funding until you mark it funded.

Does FoxDMS create a retail invoice or buyer's order?

The deal you save today is wholesale. You record the buying dealer, the vehicle, the sale price, and a payment method, and total due is the sale price. Documents prints the purchase agreement, which is the bill of sale. Retail customer sales, including a retail buyer's order, are still marked coming soon on the deal screen.

How do I see profit on the sale?

The deal form shows the vehicle's cost and an estimated profit from the sale price. That cost is the vehicle's all-in cost plus pack, and estimated profit is the sale price minus that cost. After the deal is saved, gross profit is the sale price plus any doc fee, minus the vehicle's all-in cost and pack. On a wholesale deal the doc fee is stored as zero, so profit is the sale price minus that cost. All-in cost is purchase price, per-VIN expenses, and floor plan cost.

Does FoxDMS send invoices to QuickBooks?

QuickBooks sync is planned for early 2027. The bill of sale you print today is the purchase agreement on the wholesale deal. Support is email at support@foxdms.com.
