Privacy Policy

This Privacy Policy explains how Adamz Insights LLC ("Company," "we," "us") collects, uses, discloses, and protects information when you use FoxDMS (the "Services").

1. Information We Collect

A. Information you provide

  • Account information (name, email, password, role).
  • Billing information (company name, billing address). Payment details are processed by our payment processor; we do not store full card numbers.
  • Support communications (messages, attachments, feedback).
  • Business data you upload or enter (for example: inventory records, VINs, vehicle costs, floorplan details, settlement files, contacts, and internal notes).

B. Information collected automatically

  • Device and usage data (IP address, browser type, pages/actions, timestamps).
  • Cookies and similar technologies for authentication, preferences, and analytics.
  • Log and audit data used for security, fraud prevention, and troubleshooting.

2. How We Use Information

  • Provide, maintain, and improve the Services.
  • Authenticate users and prevent fraud, abuse, and unauthorized access.
  • Process payments, invoices, and account administration.
  • Provide customer support and send service-related communications.
  • Analyze usage to improve performance and user experience.
  • Comply with legal obligations and enforce agreements.

3. How We Share Information

We may share information in the following circumstances:

  • Service providers (hosting, analytics, customer support tools) under contractual confidentiality obligations.
  • Payment processors to process transactions.
  • Integrations you enable (for example: QuickBooks). Data shared depends on your configuration and permissions.
  • Legal and safety reasons (to comply with law, protect rights, prevent fraud, or respond to lawful requests).
  • Business transfers (merger, acquisition, financing, or sale of assets).

4. Customer Data Roles

For most business data you upload (including contacts and transaction records), you control what you submit and how you use it. In that context, you are typically the "controller" of Customer Data and the Company acts as a "processor" providing the Services. You are responsible for determining your legal basis to collect and process Customer Data and for any notices you must provide to data subjects.

5. Security

We use commercially reasonable safeguards designed to protect information (such as encryption in transit, access controls, and logging/auditing). However, no system is 100% secure, and we cannot guarantee absolute security.

6. Security Incident Notice

If we become aware of a confirmed security incident involving unauthorized access to Customer Data stored by the Services, we will notify the account owner without undue delay and provide information we reasonably have about the incident, consistent with legal requirements.

7. Data Retention

We retain information as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements. Upon termination, we may retain limited records for legal and accounting purposes.

8. Your Choices

  • Access and update account information within the Services.
  • Opt out of non-essential marketing emails (transactional emails may still be sent).
  • Control cookies through your browser settings (some features may not function).

9. California / US State Privacy Rights

Depending on your location, you may have rights to request access, correction, deletion, or information about certain personal information. Requests can be sent to legal@foxdms.com. We may need to verify your identity and authority to act.

10. Children

The Services are not directed to children under 13 (or the age required by local law). We do not knowingly collect personal data from children.

11. International Use

If you use the Services outside the United States, your information may be processed in the United States and other countries where our service providers operate.

12. Changes

We may update this Privacy Policy from time to time. The effective date above indicates the latest revision.
